When using the Iklows platform, we collect the following data:

• Identification data: name, email address, company, role
• Usage data: call history, scores, transcriptions
• Audio data: voice recordings transmitted to a transcription provider
• Prospect data: information entered in the CRM (names, companies, pipeline)
• Technical data: IP address, browser type, connection logs

Your data is processed to:

• Provide the call analysis and sales coaching service
• Generate performance reports and AI recommendations
• Improve service quality
• Send notifications related to your account
• Comply with our legal and contractual obligations

The processing of your data is based on:

• Contract performance for service delivery
• Your consent for audio recording and analysis
• Our legitimate interest in improving the service

Sales calls are captured via a meeting bot that joins your Zoom, Teams or Meet calls. Audio transcription is performed by a specialized provider with speaker diarization. Iklows does not retain audio files. Transcriptions are stored in our database, hosted in the European Union.

Before recording a call, you must inform and obtain consent from your interlocutor in accordance with applicable regulations.

Iklows uses the following categories of sub-processors. The named list is provided upon written request to contact@iklows.io:

• Database host — European Union
• Meeting audio capture service
• Audio transcription service
• AI analysis provider
• Application host

• Account data: contract duration + 3 years
• Transcriptions, analyses and recordings: deleted no later than 12 months after the call, and full deletion within 30 days of contract end
• Technical logs: 30 days

Under GDPR, you have the following rights:

• Access to your personal data

• Erasure (right to be forgotten)
• Restriction of processing
• Data portability
• Right to object

Iklows uses strictly necessary cookies for service operation (session, preferences) and, only if you accept it in the banner, an audience measurement tool with anonymised IP addresses. No advertising cookies are used.
